Privacy policy

Ai-TEC respects the privacy of every client, supplier and website user. This policy explains how personal information is collected, used, stored and protected in line with the Protection of Personal Information Act, 2013 (POPIA).

Who we are and who operates this policy

Ai-TEC provides commercial and industrial boiler, calorifier, inline heater and incinerator services from our Jet Park, Boksburg base, with service teams working across Gauteng and nationally. This privacy policy applies to information handled through our enquiries, service bookings, quotations, maintenance work, emergency callouts and related communications.

The operator of this website and the party responsible for managing personal information on this platform is Astros Marketing (Pty) Ltd, acting on behalf of Ai-TEC. If you contact us by email at engineering@ai-tec.co.za or through any service channel, your details may be processed for legitimate business and compliance purposes.

What personal information we collect

We only collect information that is needed for quoting, service delivery, account administration, safety management and legal compliance. The type of information may vary depending on whether you are a customer, supplier, contractor or site contact.

  • Name and surname, company name and job title
  • Contact details such as phone number, email address and physical address
  • Site access details, plant information and service history
  • Billing, tax and payment records where applicable
  • Technical information shared in relation to boilers, calorifiers, heaters or incinerators

Where you request emergency support, we may also collect location details, access instructions and contact names for the site. This helps us respond quickly, especially during load-shedding, after-hours breakdowns or plant stoppages.

Why we use your information

We process personal information to provide services properly, keep records in order and meet our obligations under South African law. The purpose of collection is always linked to a practical business need. We do not collect information just because it is available.

  • To prepare quotations, contracts and service schedules
  • To carry out maintenance, inspections, repairs and plant refurbishment
  • To arrange callouts, delivery access and site coordination
  • To maintain service records, invoices and compliance files
  • To communicate updates, reminders and safety related notices

We may also use information to manage water treatment support, annual inspections, combustion tuning, refractory relining and similar technical work where accurate records are needed for safe operation.

When we share information

Ai-TEC only shares personal information where it is necessary for the service, required by law, or needed to protect our rights and those of our clients. We limit access to people who need it for their work, and we expect the same level of care from anyone we use to support our operations.

Information may be shared with:

  • Internal staff responsible for sales, operations, engineering and service coordination
  • Trusted contractors or suppliers assisting with repairs, transport or fabrication
  • Auditors, insurers, legal advisers or regulators where a lawful request exists
  • Authorities when disclosure is required by legislation, court order or safety duty

We do not sell personal information.

How we protect and retain records

We use reasonable technical and organisational safeguards to protect personal information against loss, misuse, unauthorised access and unlawful disclosure. Access is restricted, and records are handled according to their business purpose and retention obligations. This includes service files, job cards, quotations, correspondence and compliance records.

Some information may be kept for several years because boilers, calorifiers and industrial heating plant often require a long service history. In some cases, records must also be retained for tax, safety or contractual reasons. Once information is no longer required, we take steps to delete, archive or anonymise it where appropriate.

Your rights under POPIA

You have rights in relation to your personal information and you may contact us to exercise them. Subject to legal limits, you may ask what information we hold, request correction of inaccurate details, object to certain processing or request deletion where we are not required to keep the record.

  • Request access to your personal information
  • Ask for correction of outdated or incorrect details
  • Withdraw consent where consent was the lawful basis
  • Object to direct marketing messages
  • Lodge a complaint regarding the handling of your information

Requests should be made using the contact details already provided to us. We may need to verify your identity before acting on a request, especially where plant access, billing or site records are involved.

Updates to this notice and contact details

We may update this privacy policy from time to time to reflect changes in our services, legal duties or internal processes. The latest version will apply from the date it is published, unless stated otherwise. We encourage clients, suppliers and site contacts to review it periodically.

For privacy related questions, correction requests or concerns about the use of your information, please contact Ai-TEC via engineering@ai-tec.co.za. If you are not satisfied with our response, you may also approach the Information Regulator in South Africa in terms of POPIA.
